In theory, finding property software is easy enough, as there is lots of it available, but in practice it is not so easy because most it will not be right for your specific needs. Why? Because it will either be too advanced for you or it will not include all of the features that you need. The prices for property software typically range from $100 to $10,000 (or even more), so do not buy more than you need. Of course, at the lower end of the scale, the software has very few features indeed. So, write a list of what you need the software to help you do, and then compare that list to the features listed on the websites of the vendors selling property software. The more exactly it matches, the better. Make sure that the software can do the basic things that you need, such as maintain a separate ledger for each tenant and each owner, write bank checks and deposits, maintain a vendor file, automatically post rent, management fees, and late fees. Additional features that you may get if you opt for above average property software include an appointment management system, pop-up reminders, and the ability to log past conversations with tenants and owners. The ability to export tenant information is very helpful for handling credit references and back payments at a later date. Also, the more automated features there are, the better. You should be able to make changes to all accounts, or a select group chosen by you, with just a click or two of the mouse. As well as the number and quality of features, you should also pay close attention to how easy the software is to use and navigate around. You should always receive a printed user guide with the program, a comprehensive built-in help file, and an online help page. The importance of user-friendliness cannot be overstated. Remember that you have to train yourself, and probably others, to use the property software, and the longer it takes to learn how to use it, the longer it will take to start making you money. Opt for property software that comes with good after-sales support. Support should be free for at least a month or two, but this is not always the case. Some vendors will say that support is only offered if you sign-up for their over-priced software updates. Always ask about this before going ahead and making a purchase.
